IMPORTANT INFORMATION
 
The vacancy is for a local position with a local remuneration package. It is open only to nationals and residents of Bangladesh.
 
Job Purpose
Performs a full range of secretarial and administrative support services for the designated International and senior National Staff. Coordinates administrative activities for the assigned units.  Take up project administration activities under technical assistance.
 
 
Expected Outcomes
 
Mail/Written Communications/Follow-up
Ensures that all correspondence and documents for supervisor are correctly typed and prepared in compliance with ADB's standards.  Independently composes and sends out routine letters.  Drafts more complex correspondence for signature of supervisor. Ensures that all incoming mail is logged, properly distributed, and promptly brought to the attention of concerned staff, and that outgoing mails/faxes are delivered on time.
 
Office Administration and Logistic support
Ensures that office filing systems and records are properly maintained and updated in accordance with an existing framework for easy retrieval.
 
Assist administration for extension of residential entry visas. Bangladesh Resident Mission (BRM) vehicle registration, revalidation of Customs Passbook, Secretariat Gate Pass and Airport Security Pass.
 
Prepare the List of Outgoing Pouch items and make arrangements for sending the BRM Pouch to the airport Thai cargo department. Make arrangements for taking delivery of Incoming Pouch from ADB HQ, Manila at the Dhaka airport. Sort out the incoming documents and its proper distribution to the respective desks at BRM.
 
Prepares draft Note Verbales for issuance of different categories of visas.

Draft requisitions for various BRM procurement. Prepare letters for various parties for submitting of their quotations. Draft approval memos and work orders, and prepare Property & Material Management Report.
 
Assist administration for obtaining duty-free exemption from the Government for customs clearance of ADB consignments. Coordinate with C&F cargo agents and customs department officials for smooth clearance and delivery of import items for BRM.
 
Performs certain standard activities such as maintaining adequate stocks of office supplies as required; coordinates micro-computer inventory, allocation, and requirements for the office.
 
Oral Communications/Internal & External Contacts
Provides efficient reception services by screening incoming telephone calls, taking accurate messages, dealing with queries from callers and visitors, establishing the nature and priority of requirements of unexpected visitors to ensure that they are routed in a timely manner to the concerned staff.
 
Calendar/Travel
Ensures the effective coordination of supervisor’s schedule by maintaining diaries and arranging appointments, meetings, travel and accommodation as specified by the supervisor and in accordance with ADB procedures.
 
Coordination
Coordinates the various activities such as meeting arrangements of Finance and Administration unit to ensure that the supervisor's instructions are passed onto the concerned staff.
 
Data Analysis and Report Generation
Collects, compiles and analyzes relevant information and data related to the fuel, electricity, water consumption of BRM to produce routine and/or ad hoc statistics/reports as instructed.
 
Project Administration
Performs project administration activities related to technical assistance consultant recruitment and consultant contract administration under the supervision of project officers.
 
Others
Performs other duties as may be assigned.

Qualifications

 
Education Requirements
  • Bachelor's degree or equivalent professional and/or academic qualifications

Relevant Experience
Work experience
  • At least 5 years of work experience
Technical knowledge
  • Excellent typing skills
  • Advanced computer skills with sound knowledge of common word-processing, spreadsheets and graphics software used in multilateral organizations
  • Thorough understanding of the role and function of the division/office/department and a good general understanding of the organization's purpose
  • Good working knowledge of procedures, formats and standards relevant in the performance of work 
  • Ability to exercise judgment on matters of confidentiality and those requiring urgent attention especially in the supervisor's absence 
  • Excellent command of written and spoken English
People and leadership skills
  • Ability to work with individuals from different cultural/national backgrounds
  • Good coordination and interpersonal skills
  • Ability to coordinate proper distribution of tasks among other administrative assistants
  • Able to liaise and work effectively with staff within own work location
